1. Introduction
This Privacy Policy explains how KhataDhari ("KhataDhari", "we", "us" or "our") collects, uses, shares, stores and protects information when you visit our website, request a demo, use KhataDhari Retail ERP, billing or POS, inventory, product, customer and order features, use WhatsApp Ecommerce, or interact with related support and business services.
In this policy, "retailer" or "business customer" means a business using KhataDhari. "Customer" may also refer to an end customer whose information is entered or processed by that retailer through the service.
2. Information We Collect
The information we process depends on the services and features used. It may include:
- Account and business information: name, business or store name, email address, phone or WhatsApp number, user or account identifiers, roles and account settings.
- Retail operations information: products, catalog details, barcodes, prices, inventory, suppliers, customers, orders, invoices, transactions and related business records entered by authorized users.
- Customer information managed by retailers: customer names, contact details, purchase or order history, delivery details and communications that a retailer chooses to manage through KhataDhari.
- Demo and support information: details submitted in demo requests, enquiries, support messages and other communications with us.
- Technical and security information: IP address, device and browser information, timestamps, request logs, error information and security events where generated through operation of the website or services.
- WhatsApp-related information: identifiers and message, delivery, product, catalog, cart or order information needed for enabled WhatsApp Business Platform features, as described below.
KhataDhari does not require every category for every user. A retailer determines much of the business and customer information entered into its account.
3. WhatsApp Business Platform / Meta Integration
KhataDhari may connect with Meta's WhatsApp Business Platform on behalf of a retailer. Depending on the features the retailer enables, KhataDhari may process WhatsApp Business Account identifiers, phone-number identifiers, customer phone numbers, message or order-related information, message delivery and status events, product or catalog information, and webhook events required to provide and operate the integration.
This information is used to support the retailer's requested WhatsApp Ecommerce and business workflows, such as product discovery, customer conversations, order handling and related service records. KhataDhari is independent from Meta and WhatsApp and does not claim ownership of, or endorsement by, those services.

4. How Information Is Used
We may use information to:
- provide and administer Retail ERP, POS and billing, inventory, product, customer, order and WhatsApp Ecommerce features;
- process the product, customer, order, invoice and related workflows requested by a retailer;

- respond to demo requests, support questions and service communications;
- monitor reliability, troubleshoot problems, maintain security and prevent fraud, spam or abuse;
- understand and improve website and service performance;

- authorized users and administrators of the relevant retailer account;
- hosting, cloud, storage, email, security, analytics and support providers used to operate the service;
- Meta or WhatsApp when a retailer enables WhatsApp Business Platform features;
- other integration providers a retailer chooses to enable; and
- courts, regulators, law-enforcement bodies or other parties when required by applicable law or reasonably necessary to protect users, the service or legal rights.
Service providers are given access only for relevant functions and are expected to handle information under applicable contractual and legal requirements.
7. Data Security
KhataDhari uses reasonable technical and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration or disclosure. Safeguards may include access controls, account permissions, secure communications, monitoring, backups and provider-management practices, as appropriate to the service. No internet transmission or storage system can be guaranteed to be completely secure.

Subject to applicable law, account authority and necessary verification, a person may request access to, correction of or deletion of personal information associated with KhataDhari. Some requests involving retailer-controlled customer records may need to be directed to the retailer that collected the information.
